General Information

1. When does the check-out start?

23 May.

2. When does the check-out end?

For 1st and 2nd year students on 6 June, noon.

For graduating students on 15 June, noon.

For IFY/PBS students on 30 June, noon.

3. How do I register for a checkout appointment?

On 15 May, you will receive your personal login via email prior to 12 pm (noon). Between 15 May, 7 pm and 22 May, 7 pm, please go to http://constructor.university/housing/checkout and indicate your preferred check-out time slot. If you have not received the login info e-mail by 16 May, contact us immediately at checkout@constructor.university.

4. At what time can I check out?

Please indicate the date and time of your checkout, referring to the date and the following time corridors:

On the basis of your preference you will be assigned a tentative check-out appointment, which will be immediately visible to you. After the end of the registration period on 22 May, all check-out appointments will be finalised and you will receive an e-mail with your final check-out appointment. If you have not received an e-mail with your finalised check-out appointment by midnight on 22 May, please contact us immediately at checkout@constructor.university.

5. Can I change my check-out appointment on short notice?

Once you have been assigned a final check-out appointment (on 22 May), it can only be changed in very exceptional situations.

6. How can I change my time slot?

The request for a time slot change due to an exceptional situation (please provide proof, e.g. an e-mail from the employer, landlord, etc.) has to be made in writing to checkout@constructor.university not later than 24 hours before your scheduled check out appointment. Failure to do so will result in a fee of €100.00.

7. Can I cancel my check-out appointment?

The request for a cancellation of your check out appointment has to be made in writing to checkout@constructor.university no later than 24 hours before your scheduled check out appointment. Failure to do so will result in a fee of €100.00.

8. What happens if I miss my check-out appointment or if I am not ready?

If you fail to check out by the scheduled date and time, this will result in a fee of €100.00. After the missed appointment, a further €100.00 fee will be applied for every 24 hour period until the new checkout appointment is completed.

9. What happens if I don't register for an appointment?

If you fail to schedule your checkout within the registration period outlined above this will result in a €100.00 fee for each additional day until an appointment is scheduled.

10. Do I have to be present at the check-out?

NO! After you cleared and cleaned your room according to rental agreement you have to hand over transponders and keys (Room and Mailbox) at the porter's office before your scheduled checkout day and time.

11. Can another student do the check-out for me?

Only the student assigned to the room can check out of that room. If there are checkout charges, we will charge the student assigned to the room.

12. How do I get my security deposit back?

In order to get your security deposit back in full, you need to leave the room completely clean and ready for the next student to move into the room. Once your room is inspected, any damages or required cleaning will be charged against your housing security deposit. You will receive notification for any penalties or damages we are charging to you. We will then initiate a refund. Please note that the refund process may take several weeks after you move out. The Housing Contract stipulates that we can take as long as six months to refund your deposit. While we do not anticipate needing more than a few weeks to initiate refunds, we may take longer if your room is left in poor condition.

Apartments

How should I leave the apartment?

Your apartment and its facilities need to be left orderly and clean. The following checklist should help you to accomplish this. Your apartment should be:

IMPORTANT NOTE: Please note that Constructor University will charge you if extra cleaning is necessary, and for repair services that are not caused by normal wear and tear.

Bedding: The bedding you received at the beginning of this year belongs to you and should be kept for use next year. Please note that if you dispose of your bedding, you will not receive new bedding again if you return to living on-campus.

Shared/Common Spaces in the Suite: If you are in a Type B or C room, there are some areas of the room or suite that are considered common spaces. Damages to or cleaning required in these spaces will be split between all residents of the room/suite. For example: Sinks in the bathroom are considered common facilities. Damages to any sink will result in a charge split between all residents of the room/suite. Housing does not and cannot assign specific sinks to specific residents, and they are therefore considered common facilities. The same applies to all common areas/facilities, such as (but not limited to) doors, shower stalls, bathroom windows/blinds, and so on. If you are leaving before your roommate/suitemate, you should communicate with this person in advance about how cleaning in the common areas should be handled. Housing will not reverse charges for cleaning because your roommate/suitemate did not clean common areas or shared spaces prior to their checkout. If you feel that you have been charged unfairly, you must resolve the dispute with your roommates/suitemates directly. Housing will not arbitrate disputes between roommates/suitemates regarding shared/common areas/facilities in the rooms/suites.


 

Room keys & Transponders

Your room key, transponder, and mailbox key must be handed over at the porters' office at the scheduled date and time.

What should I do if I won't be living on campus but I have a student job and need my transponder during the summer?

You are still required to hand in your transponder. If you need a transponder due to your student job, please ask your supervisor to send an e-mail to transponder@constructor.university and request a guest transponder. Please note that check-out time is a busy period and requests should be made in advance to guarantee a smooth transition.


 

Campus cards

Campus Cards can be kept regardless whether you will return to Constructor University or not. Please discharge the funds from your card if you are not planning to return to Constructor University. Please note if you are on meal plan the balance in your account will be reset to zero at the end of every academic year. Meal plan balances do not carry over from one academic year to the next.


 

Mailboxes/Mail delivery over the summer

If you return to Constructor University in fall, you will probably not stay in the same apartment as before.

If you move to another room in fall semester 2025 we highly recommend to inform all potential senders about your summer address. It is advisable to set up a so-called Nachsendeauftrag (information in German) with the German Post AG.


 

Do I need to register my Summer or Fall 2025 address with the Bürgeramt?

If you have a confirmed room reservation for academic year 2025-2026:

- If you remain living in the same room as 2024-2025, you do not need to complete a new Anmeldung.

- If you move into a new college building, or if you move off-campus, you must update your registration with the local authorities with a new Anmeldung.

- Summer Stay residents can do this at the Housing Office.

- Students with a Fall 2025 reservation can only do this once they return to campus in August/September.

- If you are moving off-campus for either Summer or Fall 2025, you must register at your local Bürgeramt on your own. Housing cannot assist with off-campus registrations.


 

Lockers/Storage

Where can I store my belongings over the summer?

Please note that Constructor University does not take any responsibility for damaged or lost goods stored in the lockers. These lockers are not intended to store valuables. Your belongings are NOT insured by Constructor University. It is strongly recommended that you obtain private insurance for your belongings.

During Summer 2025, lockers will be available for:

- Students on Summer Stay

- Students who have a current locker for Spring 2025, and who can ensure to be back on campus to remove their items from the locker by September 15th

Deadline for clearing lockers:

- All items must be removed from the lockers by 15 September 2025

- After 15 September, lockers will be closed and all items remaining in the lockers will be disposed of

- Lockers will remain closed after 15 September to allow the university staff complete access to the basement areas

Important Locker Information:

- The university does not accept any liability or responsibility for damaged, lost, or stolen items that are stored in the lockers.

- You should not store any valuables in the lockers, including but not limited to computers, electronic appliances, expensive clothing, or any other items that would be difficult or expensive to replace.

- DO NOT store any items in the lockers that use lithium-ion batteries, including but not limited to scooters, e-bikes, or other personal mobility devices. These batteries are a fire risk and may not be stored in the basements.

- Students in Krupp E/F can make arrangements with friends in other colleges to share lockers with them. Unfortunately, due to work capacity in the check-out and summer periods, Housing cannot assist with finding empty lockers in other colleges. Alternatively, students in Krupp E/F can search for off-campus storage solutions.

- Lockers can only be accessed by the student registered to the room. This means that you may need to make arrangements with other students to access the belongings in the locker upon your return to campus. Neither Housing nor Security will assist with these arrangements.

- Lockers cannot be accessed between July 1st and August 20th 2025. In cases of emergency or disenrollment only, please contact housing@constructor.university with proof of the emergency or disenrollment to arrange access to the locker.

If you cannot ensure that you will be back on campus before 15 September, do not store anything in a locker as your items will be disposed of.



Please note that after September 15, the lockers will remain closed until the end of the 2025-2026 academic year due to much-needed maintenance work. During this time, we will review the existing lockers and their ongoing problems, namely:

- With continuous use, many lockers are broken and need repair.

- Students trying to move into their rooms in August/September frequently encounter items left in their lockers by previous residents.

- There are items in storage that have been there for years in some cases, and we cannot identify who they belong to.

- Our lockers are not intended for storing valuables. However, we increasingly see lockers being used to store valuable items, which leads to issues when the security of those items cannot be guaranteed.

- Many items stored in the lockers are, in fact, in violation of the Housing Contract, such as refrigerators, bbq grills, etc.

- Given the rapid increase in student numbers and the recent conversions of Krupp E and F into student residences, we no longer have sufficient locker space for all students on campus.


 

Galileo Residence

All students who are graduating and/or do not want to stay in Galileo Residenz in the next Academic Year (2025-2026) must meet the following check-out dates:

- Master 1st year students and graduating master students: Latest August 15, 12:00 noon

- To check-out, kindly contact the Galileo Residenz front office team to make a check-out appointment. Any checkout charges involved must be paid directly to Galileo Residenz at checkout time.
